One folder per shipment
Groups POs from several suppliers with packages, weight, volume, owner, documents and country of origin and of shipment.
A folder brings together dollar purchase orders from several suppliers, the shipment, the expenses and the import declaration (DIM). Goods enter stock at the official rate with a provisional cost, and the settlement adjusts the difference: what’s still in stock goes to average cost and what’s already sold goes to cost of sales. It’s a module you switch on per company.

Up top, the buyer adds two dollar POs (China and Brazil, USD 20,000 FOB) and pays the advance; the import analyst follows the Sea FCL checklist, confirms the declaration and records the actual expenses. Below, the warehouse receives at the official rate from the phone, only after the customs release, and the landed-cost panel reallocates each expense to the cent. Press “Watch it run” to walk through it.

The accountant compares provisional and final cost per product: the difference goes partly to remaining stock and partly to cost of sales, with draft entries via goods in transit. A late invoice arrives, he reopens with a reason, re-settles only the difference and closes after justifying what’s pending. Press “Watch it run” to see it play.
Example flow
USD order with Incoterm, validated, approved and placed, then added to the folder.
Purchasing & suppliersBenefits
Groups POs from several suppliers with packages, weight, volume, owner, documents and country of origin and of shipment.
Every foreign-currency PO, reception, invoice and payment keeps its official rate, and the FX difference on payments and advances is calculated for you.
Freight by weight, insurance by FOB, consolidation by volume, duty by HS code… and you can change each expense’s basis. The total matches exactly.
Confirming the declaration creates the duty-per-HS-code, VAT and excise expenses. VAT goes in as tax credit, not cost, and the declaration is recorded in the purchase ledger.
The gap between provisional and final cost is split between remaining stock and cost of sales. Versions with snapshots, reopening with a reason and re-settlement of the difference only.
Only settled folders can close; anything pending needs a reason and a closed folder is read-only. Before/after history of everything and dedicated permissions.
In detail
All-in-One
Data flows between modules on its own: no integrations, no exporting or importing.
It’s an optional module: you switch it on per company when you import. If you don’t import, it stays out of your menus.
The entry rules ship as drafts and are mapped to your chart of accounts during implementation. From then on, invoice, expenses, declaration, reception and settlement generate their entries via goods in transit. If you don’t use that integration, you switch it off: no import entries are made and the declaration still goes into the purchase ledger.
Settlement adjusts value without touching quantities: the difference on remaining stock goes to its average cost and the difference on what’s already sold goes to cost of sales.
Yes. The simulator estimates taxes, landed cost and margin without creating a folder, and you can print it or load it into a folder as estimated expenses. It’s an estimate: the actual assessment is the customs declaration.
